This is a draft privacy policy and will be edited before final publication.
Insley & Co. Travel ("Insley & Co. Travel," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect through www.insleyandcotravel.com (the "Site"), why we collect it, how we use and share it, and the choices and rights you have.
Insley & Co. Travel is an independent travel advisory business operating as an affiliate of Travelmation LLC ("Travelmation"), our host travel agency. We are not a Travelmation employee or a Travelmation-owned entity; some of the information described below is also processed by Travelmation and by the airlines, hotels, cruise lines, and other travel suppliers needed to plan and book your trip, as explained in "How We Share Your Information" below.
By using the Site, submitting a form, or otherwise providing us information, you acknowledge this Privacy Policy. If you do not agree with it, please do not use the Site or provide us your information.
1. Information We Collect
Information you give us directly, primarily through our contact/inquiry form and in follow-up emails, calls, or texts:
- Name, email address, phone number, and mailing address (if provided)
- Travel preferences: destinations, dates, group size, budget range, trip type (e.g., cruise, Disney, group travel, staycation), and any details you share about your travel party
- The content of any message you send us
- If you proceed with booking, information needed to complete it — which may include passport/travel-document details, dates of birth, emergency contact information, and payment information. Payment information is collected and processed by our booking/payment providers and travel suppliers, not stored by us on the Site.
Information collected automatically when you visit the Site:
- IP address, approximate location (city/region level), browser and device type, operating system
- Pages viewed, time on page, links clicked, referring/exit pages, and general browsing behavior
- Information collected via cookies and similar tracking technologies (see "Cookies & Tracking Technologies" below)
Information from third parties:
- If you interact with our Facebook, Instagram, LinkedIn, or TikTok pages, those platforms may share limited information with us (e.g., that you engaged with an ad or post)
- Travelmation and travel suppliers may share booking, itinerary, and service information with us as part of managing your trip
We do not intentionally collect more sensitive categories of information (such as health, racial/ethnic origin, or precise geolocation) unless you volunteer it — for example, mentioning a dietary restriction or mobility need relevant to planning your trip. We use that kind of information only to plan your travel and share it only with the suppliers who need it to accommodate you.
2. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and prepare travel quotes, proposals, and itineraries
- Book and manage travel on your behalf through Travelmation and travel suppliers
- Send you trip-related communications (confirmations, itinerary updates, travel documents)
- Send you marketing communications about trips, vacations, promotions, and travel ideas — only if you've opted in (see Section 3)
- Operate, maintain, and improve the Site, including understanding how visitors use it
- Deliver and measure advertising, and show you relevant ads on other platforms — only where you've consented to advertising cookies/pixels
- Comply with legal, tax, and regulatory obligations, and protect against fraud or misuse of the Site
Legal bases for processing (for visitors in the UK/EU/EEA): we rely on your consent (for marketing emails/texts and non-essential cookies), performance of a contract (to respond to your inquiry and arrange travel you've requested), legitimate interests (to operate and secure the Site, and for basic analytics), and legal obligation (e.g., tax and travel-industry recordkeeping) as applicable. Where we rely on consent, you may withdraw it at any time as described below, without affecting the lawfulness of processing before withdrawal.
3. Email Marketing — Your Consent
If you check the box to receive emails about trips, vacations, promotions, itineraries, and travel ideas, we'll send you those communications until you opt out. This is a separate, unchecked-by-default choice from simply submitting an inquiry — submitting the contact form does not automatically enroll you in marketing emails.
Every marketing email we send will identify Insley & Co. Travel as the sender, include our physical address, use accurate subject lines, and include a clear way to unsubscribe. You can opt out at any time by:
- Clicking "unsubscribe" in any marketing email, or
- Emailing us at saundrainsley@travelmation.net
We'll honor opt-out requests promptly, consistent with the U.S. CAN-SPAM Act. Note that even after you opt out of marketing emails, we may still email you non-marketing messages related to a trip you've booked or an inquiry you've made (e.g., itinerary changes, requested documents).
4. Calls & Text Messages — Your Consent
If you check the box to consent to be contacted by phone call and/or text message, you agree that Insley & Co. Travel may call or text you at the number provided about your inquiry, trip planning, itinerary updates, and — if you've separately agreed to receive them — promotions and travel ideas. This consent is not a condition of receiving a quote or booking travel with us, and it is collected separately from email marketing consent.
- Message and data rates may apply; message frequency varies based on your trip planning needs.
- Reply STOP to any text to opt out of texts, or HELP for help.
- You can withdraw phone consent at any time by telling us during a call, replying STOP, or emailing saundrainsley@travelmation.net.
- Carriers are not liable for delayed or undelivered messages.
- We do not sell or share your phone number with third parties for their own marketing purposes.
This section is intended to comply with the Telephone Consumer Protection Act (TCPA) and related FCC and carrier (CTIA) guidelines. If you did not consent to calls/texts, we will only contact you by the method(s) you provided consent for (e.g., email), except as needed to respond to a specific inquiry you initiated.
5. Cookies & Tracking Technologies
We and our third-party partners use cookies, pixels, tags, and similar technologies ("cookies") to operate the Site, remember your preferences, understand how the Site is used, and deliver and measure advertising.
Categories of cookies we use:
- Strictly necessary — required for the Site to function (e.g., security, load balancing). These can't be turned off.
- Analytics/performance — help us understand how visitors use the Site, via Google Analytics and Google Tag Manager.
- Advertising — used to show you relevant ads and measure ad performance, via Google Ads, Meta (Facebook/Instagram) Pixel, LinkedIn Insight Tag, and TikTok Pixel, and any other third-party advertising or analytics platforms we add over time.
These third parties may collect information directly through their own cookies and technology, and may combine it with information they have from other sources. Their use of your information is governed by their own privacy policies:
- Google Privacy Policy and Google Ads Settings
- Meta Privacy Policy and Meta Ad Preferences
- LinkedIn Privacy Policy and LinkedIn Advertising Opt-Out
- TikTok Privacy Policy and TikTok Ad Preferences
Your choices:
- Cookie banner: When you first visit the Site, you'll be asked to accept or manage non-essential cookies. If you're visiting from the UK, EU, or EEA, analytics and advertising cookies will not load until you opt in.
- Browser controls: Most browsers let you block or delete cookies through their settings.
- Global Privacy Control / Do Not Track: We honor Global Privacy Control (GPC) signals as an opt-out of sale/sharing for California and other applicable state-law visitors. We currently do not respond differently to browser "Do Not Track" signals outside of GPC, as there's no common industry standard for it.
- Industry opt-outs: Digital Advertising Alliance opt-out (U.S.), Your Online Choices (EU), Network Advertising Initiative opt-out
6. How We Share Your Information
We share personal information with:
- Travelmation, our host travel agency, as needed to plan, quote, and book your travel, and for the recordkeeping and compliance Travelmation requires of its independent advisors.
- Travel suppliers — airlines, hotels, cruise lines, tour operators, travel insurers, and similar vendors — as needed to research and complete a booking you've requested.
- Service providers who perform functions on our behalf, such as website hosting, email/text messaging platforms, scheduling (e.g., Calendly), and payment processing, under agreements limiting their use of your information to providing that service.
- Advertising and analytics platforms (Google, Meta, LinkedIn, TikTok) as described in Section 5. Because these platforms use cookie/pixel data to help us and them show relevant ads, this sharing may be considered a "sale" or "sharing" of personal information under California and certain other state privacy laws, even though we do not receive payment for it. See Section 8 for how to opt out.
- Legal and safety purposes — if required by law, subpoena, or legal process, or to protect the rights, property, or safety of Insley & Co. Travel, our clients, or others.
- In connection with a business transaction — such as a merger, acquisition, or sale of assets, in which case personal information may be transferred as part of that transaction.
We do not sell personal information for money.
7. Data Retention
We keep personal information for as long as needed to respond to your inquiry, provide the travel services you've requested, and satisfy legal, tax, accounting, and travel-industry recordkeeping requirements — and, where you've opted in, until you unsubscribe or opt out of marketing. Afterward, we delete or anonymize it, except where we're required or permitted by law to keep it longer.
8. Your Privacy Rights
If you're in the UK, EU, or EEA (GDPR): you have the right to access, correct, delete, or port your personal information; to restrict or object to our processing; and to withdraw consent at any time. You can also lodge a complaint with your local data protection authority (in the UK, the Information Commissioner's Office).
If you're a California resident (CCPA/CPRA): you have the right to know what personal information we collect, use, and share; to request access to and a copy of it; to request correction or deletion; to opt out of the "sale" or "sharing" of your personal information (see Section 5 on Global Privacy Control); to limit use of sensitive personal information; and to not be discriminated against for exercising these rights. You may exercise these rights yourself or through an authorized agent.
If you're a resident of another U.S. state with a comprehensive privacy law — including, as of 2026, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Delaware, Iowa, Nebraska, New Hampshire, New Jersey, Tennessee, Minnesota, Maryland, Rhode Island, Kentucky, Indiana, Arkansas, and others as they take effect — you generally have similar rights: to access, correct, delete, and obtain a copy of your personal information, and to opt out of targeted advertising, the sale of personal information, and (where applicable) certain profiling. Most of these laws let you appeal if we decline a request; instructions will be provided in our response.
To exercise any of these rights, email us at saundrainsley@travelmation.net with your request and enough detail for us to verify you (e.g., the name/email/phone used with us). We'll respond within the time required by applicable law (generally within 45 days, extendable once by an additional 45 days for complex requests), and there's no charge unless a request is excessive or repetitive.
9. Children's Privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us at saundrainsley@travelmation.net and we will delete it.
10. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect your personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
11. International Data Transfers
Some of the third parties described above (including Google, Meta, LinkedIn, and TikTok) may process personal information in the United States or other countries outside your own. Where required, we and our providers rely on appropriate safeguards for these transfers, such as Standard Contractual Clauses.
12. Seller of Travel Disclosure
Insley & Co. Travel books travel as an independent travel advisor affiliated with Travelmation LLC, a registered Seller of Travel. Under Florida's Seller of Travel law, and similar laws in California, Hawaii, and Washington, all client payments and Agent Service Fees are processed through Travelmation, not accepted directly by Insley & Co. Travel.
Bookings made through Travelmation's advisor-based supplier portals are within Travelmation LLC's jurisdiction to advocate alongside Insley & Co. Travel on your behalf — for example, if a dispute arises with a supplier. As a general reminder, bookings created outside of those portals fall outside Travelmation LLC's jurisdiction to advocate for you or your advisor.

13. Third-Party Links
The Site may link to Travelmation's site, travel supplier sites, booking/payment platforms, and our social media pages. This Privacy Policy doesn't cover those third-party sites, and we encourage you to review their privacy policies separately.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We'll post the revised version here with an updated effective date, and where changes are material, we'll provide additional notice as required by law.
